Google Drive Alternative
Most deals under about $10M run on a shared Drive folder, and most of them close fine. This page is not an argument that they should not. It sets out, from Google's own documentation, which controls Drive gives you, which tier gates each one, and the specific conditions under which a folder stops being adequate.
What a Drive folder controls
Drive is better at this than data room vendors like to admit. An owner can restrict a link to named people, turn off download, print, and copy for viewers and commenters, and set an expiry on the share. Three real controls, no procurement, no training, and the counterparty already knows how to use it.
Restricted link plus named accounts. This is a real control and it works.
A documented toggle for viewers and commenters. Stops the easy copy, not a phone camera.
Expiration dates are documented as available only for eligible work or school accounts.
Google's sharing documentation describes no per-viewer watermark. Every screenshot looks the same.
The last row is the whole argument, and it only matters under one condition: more than one party is looking. With a single trusted buyer a leak is a relationship problem you can talk through. With five bidders and a competitor among them, a document that reaches the wrong desk and cannot be traced changes the price of the deal.
Sifrsys vs Google Drive
Drive and Workspace rows read from Google's own pricing and support pages on 4 August 2026. Rows their documentation does not cover say so.
| Criterion | Google Drive | Sifrsys |
|---|---|---|
| Cost for a small team | Per user per month, low | Free Starter, then $399/mo |
| Counterparty onboarding | They already have an account | Magic link, no account to create |
| Collaborative editing | Best in class | Read and review, not co-editing |
| Restrict download, print, copy | Documented toggle | Download per document, print per room, no copy control |
| Share expiry | Eligible work or school accounts only | Per participant |
| Per-viewer watermark | Not described in the sharing docs | Burned into the page bitmap |
| Security investigation tool | Enterprise and Frontline tiers, not Business Starter to Plus | Hash-chained audit log, exportable as CSV or JSON. Our pricing page lists audit logs under Enterprise. |
| Data loss prevention | Enterprise tier only | Not offered |
| Q&A workflow for bidders | Not a documented Drive feature | Included |
| AI answers with cell citations | Not described in the docs checked | Revenue!B14:F34, clickable |
| User ceiling | 300 on Starter, Standard and Plus | Plan-based, no named-user fee |
Workspace gates the controls a deal actually needs behind the tiers most sellers are not on. Vault starts at Business Plus. Data loss prevention is Enterprise only. The security investigation tool, which is how you would reconstruct who touched what after an incident, is documented for Enterprise and Frontline editions, not for Business Starter, Standard, or Plus. A company running its first sale is usually on Business Standard, which means the audit story it thinks it has is not the one it has.
The honest part
Pricing model
Google charges per user per month, billed monthly, with a discount for a one-year commitment, and moves capability between tiers rather than charging for it directly. Storage rises from 30 GB per user on Starter to 2 TB on Standard and 5 TB on Plus. The cost of the controls a deal needs is therefore not the sticker price of a seat, it is the cost of the tier upgrade that unlocks them, applied to every seat in the company.
Sifrsys charges a flat monthly plan, published on the pricing page: free Starter, Teams at $399 per month, Pro at $999 per month, custom Enterprise, with no per-page fees. For a company of thirty people, Drive is cheaper. The question is not which is cheaper. It is whether you are running an auction. If you are, the vendors built for that are covered in the Datasite and iDeals comparisons, and SecureDocs covers the cheapest published rate in the category.
Switching
Download the folder, upload the tree, and PDF, DOCX, XLSX, and PPTX are parsed and indexed on arrival. Native Docs, Sheets, and Slides need exporting first, which is the only friction. Then rebuild the sharing model as permissions: viewers become view participants, commenters get a Q&A seat, and anything you were quietly hoping nobody would download gets fence view. The free Starter tier covers the whole exercise, so you can finish it before deciding.

Run the test yourself
Upload one document from the folder you are using now, open it as a participant, and screenshot the page. Your name, email, IP, and the timestamp are in the pixels, not in an overlay. That is the single test that separates a folder from a room. The Trust Center lists what Sifrsys does not claim.
